How to manage retention policies at scale with Workbook Scanner

Use Workbook Scanner to scan your desktop or drive for DataSnipper workbooks and apply Document Retention policies at scale across a folder.

Workbook Scanner helps you scan your desktop or drive for folders containing DataSnipper workbooks. This way, you can view, modify, and apply Document Retention policies at scale to all documents in a folder.

Pre-requisites

  • DataSnipper v25.1 or later

  • Elevate Package

  • File storage in a mapped drive

Please note: Document Retention policies are customizable at the individual user and workbook level, allowing flexibility to suit specific project or user needs. Retention settings are not applied at a company-wide level.

A mapped drive is a shortcut on your computer to a folder that lives somewhere else, such as on a server, cloud storage, or another computer. It shows up with a drive letter (like Z: or H:) in File Explorer, just like your C: drive for your computer's main storage.

  • Example 1: A company SharePoint folder mapped as drive S: so you can open it from File Explorer like a regular folder.

  • Example 2: A shared department folder on a company server mapped as H:.

  • Example 3: A remote desktop folder mapped as R: so you can transfer files between your computer and the remote desktop easily.

The video shows how to scan a folder with Workbook Scanner, review the retention types of the workbooks it finds, and remove temporary documents across multiple workbooks at once.

Step-by-step guide

  1. Click the Workbook Scanner icon in the DataSnipper ribbon.

  2. This opens a separate window that looks similar to Windows File Explorer. Select the folder you'd like to scan and click Scan Folder.

  3. After the scan is complete, Workbook Scanner shows you a full list of all Excel workbooks in the selected folder alongside their retention types: Temporary, Permanent, Not Set, or Unknown.

  4. Select the documents and click Remove Temporary Documents to unlink source documents from all workbooks with Temporary retention policies in the folder.

  5. You can also set filters for retention types and archival dates to simplify your search through large folders with several workbooks.

Note: Unknown indicates that the workbook is either encrypted or currently open. Excel workbooks on your device from before v25.1 show a Not Set status, since retention policies were not applied to them.
